Volunteer With Us
We welcome volunteers in the classroom, on field trips and with certain tasks at school or at home. Certain activities or field trips would not be possible without the active participation of our volunteers. Contact us about ways you can volunteer with our school.
(Please note, guest speakers or visitors to the school, and parents/guardians assisting their own child only are not considered to be volunteers and do not require a police information check.)
Volunteer Security Clearance Process
Step 1
Go to MyCBE and click on the "Online forms and School Registration" tab and complete the volunteer registration 2025-26 form.
School administrators will verify your identity and register you in the CBE volunteer database. The school office will provide you with a letter enabling you to obtain a police information check from the Calgary Police Service (CPS).
Note: prospective volunteers must reside in Canada for a full year before registering. Police clearances from countries other than Canada are not accepted.
Step 2
Visit the CPS online system, electronic Police Information Check (ePIC), to obtain your police check using your CBE volunteer letter.
Volunteers should wait to submit their request until they receive an email from Calgary Police Service – Record Check inviting them to apply for their Police Information Check with VS for Volunteer. This will ensure the voucher is ready to be redeemed by the volunteer.
Voucher costs are covered for online applications only. If a volunteer applies to Calgary Police Service in-person with the e-Pic letter given them from their school, the $21.25 application fee will apply.
If a volunteer submits their own payment, there is no option for a refund. There is no refund option for volunteers who have previously submitted applications.
If you are unable to complete the process online, you may visit a police information check location instead.
Step 3
Once you have received your clearance document from CPS you will need to share it with the school in-person or by email.
Volunteering for an Off-Site Activity
If you want to volunteer for an off-site activity, please keep in mind:
- Volunteers on an activity are considered representatives of The Calgary Board of Education and are subject to the same expectations as staff
- Volunteers are subject to the requirements of CBE Administrative Regulation 5003 – Volunteers, which includes an application and a police security screening check
- Volunteers are covered by the CBE’s liability insurance policy while performing their assigned duties
- Volunteers are covered by WCB while performing their duties
- Volunteers receive direction from and are accountable to the teacher-in-charge
Annual Volunteer Registration
Each school year you must complete the CBE volunteer registration form. By completing the form, you agree to abide by the conditions that protect the safety, confidentiality and working environment of our schools. You also make a signed declaration with regard to criminal charges.
Volunteering at McKenzie Towne School
Volunteers are a vital part of our school’s operation. Research strongly indicates that the single most powerful factor
in developing productive school experiences is the close relationship between home and school, parents and teachers. Our school recognizes this value and encourages the use of volunteers to enhance our programs.
Volunteers can assist by:
- Improving the adult/student ratio
- Expanding the variety of classroom activities
- Allowing teachers to spend more instructional time with students
- Enriching the quality of school programs
- Building an understanding through involvement.
Another goal of the volunteer program is to promote communication between school staff and parents as we work together to provide the best possible education for our children.
Volunteers are asked to sign-in and pick-up a volunteer tag from the office area. Please return it prior to leaving the school. All volunteers fill out a Police Information Check Form, Search and Disclosure Waiver and Release, prior to volunteering in the school. This police check is valid for 5 years. Please note prospective volunteers must reside in Canada for a full year before registering. Police clearances from countries other than Canada are not accepted.
Parents/guardians, grandparents and caregivers can volunteer on a regular or occasional basis. Once a volunteer has agreed on the time of commitment, efforts should be made to be there or find a replacement. The designated teacher should be informed ahead of time of any necessary absences at 403-777-6185.
Volunteer Opportunities at Our School
Classroom Assistance: In-Class
- Kindergarten volunteers may be asked to help set up crafts/activities, tidy the paint/sand/water centres, help children at centres, help children with reading skills.
- Grades 1 - 4 volunteers work with children in writing and oral reading, math supervise students on field trips.
Classroom Assistance: Teacher Materials
- Assist in preparing instructional Materials, photocopying materials
Home Room Parent:
- Meet with the teacher to get volunteer lists, phone volunteers and do monthly calendar.
- Arrange for classroom volunteers for events or field trips.
- Attend Parent Council meetings.
Reading Program:
- Read one-on-one with students to provide extra skill work.
- Workshops may be provided to learn specific strategies.
Library Assistance:
- Card and shelve books
- Process new materials
- Help children find materials
- Change bulletin board displays
Fundraising:
- Help with events such as; raffles, dances, casino, Activity Day, etc.
Special Events:
- Set up the gym for an event, school dance, in-line skating assistance, Activity Day, organize cultural events
Year Book Committee:
- take photographs of school events
- help organize photos and lay outs
- meet as a group to discuss themes and designs
